Preparing Documents for Costa Rica Residency

Start with the current checklist for your exact DGME procedure, then organize each document’s issuing authority, authentication route and language. A general article cannot replace the instructions for your category or a formal request in your file.

Build a document checklist before ordering records

Begin at Costa Rica’s immigration authority, DGME. Keep the checklist date and procedure name with your records. Ask which birth, marriage, background, financial or identity documents apply to your circumstances rather than ordering every document mentioned in a general guide.

  • Record the issuing country and authority.
  • Confirm the required document format and age at submission.
  • Check whether originals, certified copies or digital documents are accepted.
  • Allow time for corrections, authentication, translation and delivery.

Apostille or consular legalization?

The route depends on the issuing country and the applicable convention. Costa Rica’s Ministry of Foreign Affairs explains that an eligible document apostilled abroad does not need an additional approval from Costa Rica’s Cancillería. Where the apostille route does not apply, confirm consular legalization and the subsequent authentication steps with the relevant Costa Rican consulate and Foreign Affairs Ministry.

An apostille authenticates the signature, official capacity and seal; it does not certify the truth of everything stated in the document or guarantee that DGME accepts it for your particular application. Do not assume that ordinary notarization replaces the required international authentication.

Check language and translation separately

The Foreign Affairs Ministry directs users with documents in a language other than Spanish to an official translator. Its website provides translator information. Confirm the receiving authority’s requirements for the complete document and attached certifications before commissioning the translation.

Keep the document and its authentication together. Ask the translator about the full set of pages, spelling of names, and how the translated version should be presented. A translation does not repair a missing or incorrect source record.

Timing, names and document validity

Do not apply one blanket expiry rule to every record. Check the current rule for each document and procedure, including any validity period printed on the document. Work backward from your intended submission date and allow for delivery delays.

Compare names, dates of birth and family details across your passport and civil records. If names differ because of marriage, transliteration or a correction, ask what connecting evidence is required before submitting.

Keep an organized application file

  1. Make a list of documents ordered and outstanding.
  2. Track issue dates, authentication and translation status.
  3. Retain legible copies and delivery receipts.
  4. Record the submission reference and channel.
  5. Read formal notices and respond through the instructed channel by the stated deadline.

Before paying a document service

Request a written scope covering issuing-authority charges, authentication, translation, delivery and the provider’s own fee. Ask who holds the originals, how they will be returned and what happens if a correction is needed. Document preparation does not guarantee residency approval or a fixed processing time.
